Challenge
Growing Compliance Workload Tied Up Skilled Staff in Repetitive Work
As a platform pooling investors across Europe into various SPVs, Roundtable operates in an industry where trust is non-negotiable. Its team is constantly carrying out AML screenings, KYC checks, and compliance reviews to protect investors and mitigate risk.
At the time, Roundtable's operations team maintained a generalist structure, with every member handling compliance checks. This meant skilled employees were spending significant time on document review rather than higher-value tasks such as responding to client requests or closing vehicle deals. As the business scaled, this approach became increasingly difficult to sustain.
For Alexandre Foulachon, Head of Operations at Roundtable, the priority was clear: move the operations team toward greater specialization without growing headcount for routine work. Every new recruit needed to be a builder who could solve complex operational problems, rather than executors who focused on repetitive tasks.
Beyond preserving his team's bandwidth, Alexandre faced another problem: inconsistency in manual reviews. Analysts could reach different conclusions on the same case, leaving no guarantee that similar cases were evaluated against the same standards. This challenge grew as Roundtable's operations expanded across multiple European countries and the team received country-specific documents that required different procedures for each country and document type.
The workload compounded with AML checks. A single investor could generate over 500 media hits requiring review. This volume increased the risk of fatigue among analysts working through them, making it easier for red flags to be overlooked among hundreds of results.
It was clear that Alexandre needed a solution to automate document review as the business scaled without requiring a complete overhaul to Roundtable's existing stack. Getting started with Sphinx was a seamless process. From day one, Alexandre worked with the Sphinx team to integrate via API, train agents on real production data, review performance, and identify areas for improvement. “We constantly work together to examine specific cases based on data from Sphinx, create SOPs, and fix any pending issues,” Alexandre explains. “The level of collaboration we've seen makes Sphinx feel like an extension of the team rather than a standalone tool.”
Today, Sphinx handles the overwhelming majority of low-risk cases involving documents such as IDs and proof of address. Alexandre and his team now focus on complex cases that require human judgment, such as US trusts and multilayered corporate structures.
For reviews across different countries and document types, Alexandre and the Sphinx team worked together to create SOPs to standardize compliance review operations and train AI agents against them. As training expanded, Sphinx quickly began handling those country-specific requirements without direct human intervention. Plus, with agents at the helm of these cases, they're now evaluated consistently under similar circumstances, rather than being subject to different analysts' interpretations.
For Alexandre, Sphinx's true value-add was its ability to streamline AML checks. Its AI agents now review media hits at scale and distinguish false positives from potentially relevant results, significantly reducing the team's workload. “Sometimes we get more than 500 hits per person that need to be reviewed,” Alexandre explains. “With Sphinx, that's easy to handle, as it flags false positives versus real results.”
By shifting routine document and media reviews to Sphinx, Alexandre now redirects his team toward higher-value work while using compliance insights to make informed decisions, including which deals to take on and which to walk away from.
With Sphinx, we have one person working part-time to review the most complex cases, rather than three to four people working full-time on document review.
